Equipment Hire Terms & Conditions

These terms apply to all equipment hire from Ultra Cleaning Solutions NI Ltd. By booking, you agree to the terms below. If you have any questions, contact us at joseph@ultracleaningsolutionsni.co.uk.
1. Definitions
- "We", "us", "our" — Ultra Cleaning Solutions NI Ltd.
- "You", "the Hirer" — the person or business hiring the equipment.
- "Equipment" — the machine(s) and any accessories supplied for hire.
- "Hire Period" — the 1, 3, 5 or 7-day period selected at the time of booking.
2. Booking & hire periods
Equipment is hired in fixed periods of 1, 3, 5 or 7 days. For any other duration or longer-term contract hire, please contact us. A booking is confirmed once payment and the deposit have been received and we have accepted the order. The Hire Period begins on the agreed collection or delivery date and ends on the agreed return date.
3. Payment, VAT & deposit
- Hire charges are payable in full and upfront at the time of booking.
- All hire rates are quoted excluding VAT; VAT is added at the prevailing rate.
- A refundable damages deposit of 25% of the hire charge is taken alongside the hire payment.
- The deposit is refunded back to your account once the Equipment is returned in full working order, clean and complete with all accessories, with no damage or loss — normally within 3–5 working days of the Equipment being returned and inspected.
- We may deduct from or retain the deposit (and charge for any shortfall) to cover damage, loss, missing parts, excessive cleaning or late return as set out below.
4. Use & care of the Equipment
You must use the Equipment only for its intended purpose, in line with the manufacturer's instructions and any guidance we provide. You are responsible for the Equipment from the moment it leaves our premises (or is delivered) until it is returned to us. You must keep the Equipment secure and protected from theft, misuse and adverse conditions, and must not modify, repair or tamper with it. You must not allow anyone untrained or unauthorised to operate the Equipment.
5. Damage, loss & theft
You are liable for any damage to, or loss or theft of, the Equipment during the Hire Period, however caused (other than fair wear and tear). Where the cost of damage, repair, missing parts or replacement exceeds the deposit, you agree to pay the balance. In the event of theft, you must report it to the police and to us immediately and provide a crime reference number.
6. Breakdown & faults
If the Equipment develops a fault that is not caused by your misuse, contact us immediately and stop using it. We will repair or provide a like-for-like replacement where reasonably possible. If we cannot, we will refund the hire charge for the unused portion of the Hire Period. We are not responsible for any other costs arising from downtime. You must not attempt your own repairs or use third-party parts.
7. Return & late returns
- The Equipment must be returned clean, in full working order and complete with all accessories by the end of the Hire Period.
- Late returns are charged at the standard daily hire rate for each additional day (or part of a day) until the Equipment is returned, and may delay your deposit refund.
- If the Equipment is returned dirty or requiring more than minimal cleaning, a cleaning charge of £25 + VAT may apply.
8. Collection & delivery
Collection from our premises is free of charge. Local delivery and collection can be arranged for an additional fee — please contact us for a quote and availability. You must ensure safe and reasonable access for collection and return.
9. Liability
We are not liable for any loss of profit, loss of business, or indirect or consequential losses arising from the hire or any fault, delay or downtime. Nothing in these terms excludes or limits our liability where it would be unlawful to do so, including for death or personal injury caused by our negligence. You are responsible for ensuring the Equipment is suitable for your intended use and site.
10. Cancellation
You may cancel a booking up to 48 hours before the Hire Period start date for a full refund of the hire charge and deposit. For cancellations made within 48 hours of the start date, we reserve the right to retain a charge equal to one day's hire; the balance and the full deposit will be refunded.
11. Identification
Before releasing Equipment we may require valid photo ID (such as a current driving licence or passport) together with a recent proof of address (such as a utility bill or bank statement dated within the last three months). For business hires, we may also require company details.
12. Governing law
These terms are governed by the law of Northern Ireland and subject to the exclusive jurisdiction of the Northern Ireland courts.
Customer agreement. By submitting the hire agreement form, I confirm that I have read, understood and accept these Equipment Hire Terms & Conditions, that the information I have provided is accurate, and that I am authorised to enter into this hire on behalf of myself or my business.
